The first step in generating an Outputted Document in AI Docs is to use the appropriate Intelligent Form. Intelligent Forms include robust form logic to perform calculations and present users with only the fields and options compatible with their previous entries. Form AI can be used in the Intelligent Form to generate wording based on automatically generated prompts to ChatGPT that coincide with the user’s selections and entries. Drag and drop Intelligent Form Builder admin screens allow for fast creation of Intelligent Forms containing numerous visible and hidden components such as date fields, text fields, checkboxes, radio buttons, file upload, variables, iterators, hide/show logic, conditional logic, etc.
Upon completing the Intelligent Form, form logic works with AI Docs’ document logic to build the desired one-off Outputted Document. Each Outputted Document is linked to an Intelligent Form and the user’s saved selections and entries. Outputted Documents are available in PDF and/or Word format, depending on user permissions. A simple example of document logic is the ability to add information to the Outputted Document that was entered into the Intelligent Form. More advanced document logic can add or remove wording to the Outputted Document based on values the user entered into the Intelligent Form. This means that AI Docs can create all types of Outputted Documents based on rules and AI. AI Docs is excellent for contract automation, generating letters of recommendation, and automating social work documentation.
Once the Outputted Document is created, users can take several Actions directly in the AI Docs cloud-based platform. Actions available to users are based on preestablished permissions and the current status of the AI Docs Document. Basic Actions include “Edit,” where the user can change their saved Intelligent Form entries, “Copy,” and “File Upload.” Advanced Actions include activating a “Workflow” and initiating a “Sign Process.” Workflow Templates can organize Workflows and can contain multiple Workflow steps, such as reminders, tasks, and electronic signatures. AI Docs’ native electronic signature functionality provides an extremely easy-to-use eSign experience that promotes contract automation and doesn’t require signers to log in or download anything.
Released in 2025, the AI Docs self service software functionality is an innovative, groundbreaking offering that helps organizations address their customers’ growing desire for self service. Our self service software is highly flexible for various use cases and employs the following consistent process: Step 1, the user authenticates that they are a real person; Step 2, the user is taken to the appropriate AI Docs Intelligent Form, which guides them through their selections and entries, and Step 3 presents the desired action buttons. Action buttons can trigger viewing the PDF Outputted Document generated from the user’s entries in Step 2, emailing the PDF Outputted Document to the user, initiating an eSign process, or a custom action, such as requesting a product quote.
The AI Docs Document Dashboard lists all AI Docs Documents, whether created by logged-in users or self service users. Columns in the listing include information such as the name, AI Docs template, owner, document status, and, when applicable, expiration dates. Each AI Docs Document contains an Intelligent Form with the user’s selections and entries, the corresponding Outputted Document, and the Actions that can or have been taken. Permissions control whether a user can see only the AI Docs Documents they created or all that any user created. Filters, searches, and CSV exports are also available in the AI Docs Documents Dashboard.
